  • Financial data — accounting records, invoices, bills, payments, journal entries, bank account details, payroll information, and tax filings related to our business entities.
  • Documents — uploaded files such as contracts, receipts, and correspondence.
  • Usage data — basic application logs and activity records for troubleshooting and security purposes.

3. How We Use Your Information

Information collected through this application is used exclusively for:

  • Managing the financial records of our business entities.
  • Generating reports, tax filings, and financial statements.
  • Processing invoices, bills, and payments.
  • Maintaining accurate accounting and audit trails.
  • Ensuring the security and proper functioning of the application.

4. Data Storage and Security

All data is stored securely using Supabase, a hosted database platform with encryption at rest and in transit. We implement row-level security policies to ensure data is only accessible to authorized users. Sensitive information such as authentication tokens is stored using encrypted storage mechanisms.

5. Third-Party Sharing

We do not sell or trade your information. Data is shared with third-party service providers only as necessary to operate the application:

  • Supabase — used for user authentication and as the system database. All application data is stored and processed through Supabase.
  • AI assistants (OpenAI, Anthropic, xAI) — used to provide AI-powered assistance within the application. Data is only sent to these providers when you initiate a conversation with the AI assistant.
  • Google Cloud Vision — used to process uploaded bill and invoice images. Uploaded images are sent to Google's imaging AI to extract text and data for auto-populating form fields.

These providers process data solely on our behalf. We do not share your information with any other third parties.

6. Data Retention

Financial records and associated documents are retained in accordance with applicable Canadian tax and corporate law requirements, generally for a minimum of six years. Account information is retained for as long as the account remains active. You may request deletion of your account data by contacting us directly.

7. Your Rights

As a user of this application, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your data, subject to legal retention requirements.
  • Receive a copy of your data in a portable format.
